How to Estimate Wedding Food Quantities with Your Caterer

Key facts

  • Count diners separately for each service.
  • Share all food supplied across providers.
  • Confirm units and proposed quantities.

Count diners for each service

Start with the people expected to eat at the relevant meal, separating adults, children and working suppliers where their meals are part of the arrangements. Keep invited and unresolved attendance outside the confirmed count and discuss the uncertainty with the provider.

Use separate counts for different events or service periods. Guests at a jaha or henna may not be the same group as those at the reception, and late-night refreshments may serve a smaller group. Record the basis rather than copying the largest number into every order.

Describe the whole menu

Tell the caterer about starters, mains, sides, sweets, cake and any other food supplied by the venue or another provider. Ask how those items affect the proposed quantities. A dish offered alongside several choices has a different serving brief from the only main course.

Clarify the style: individual plates, buffet stations or shared dishes. Ask how a platter, tray or portion is defined and how many diners it is intended to serve under that plan. Do not assume the same unit from two providers represents the same amount.

For an individually served item, you can check the quoted total against the agreed number of meals. For buffets and shared dishes, ask the caterer to explain the allocation across options. This is a review of the provider’s plan, not a universal recipe calculator.

Food quantity review

Check each item as you complete it. Add it to your notes app or keep your progress in Favorites.

Avoid double-counting alternative meals

If a guest receives a separate meal, confirm whether it replaces or supplements a main-menu allocation. Link the request to the count without exposing health details in a broadly shared sheet. Children’s portions and working-supplier meals also need their own agreed treatment.

Ask which quantities are prepared initially and which are reserved for replenishment. A buffet display does not by itself explain the full quantity in the offer. Confirm what happens if demand for one item differs from the expected distribution.

Address uncertainty openly

Ask the caterer to propose any allowance for unresolved attendance or service variation and explain its basis and price. Do not add a fixed percentage to every line without checking overlap. If the budget cannot support the proposal, discuss the menu or service scope instead of quietly ordering less than the agreed plan needs.

Record minimum guarantees, the final-count deadline and the handling of late increases or decreases. Before the event, obtain confirmation of the final diners, dish quantities, service and total. Discover providers through Farhetna and confirm the actual proposal directly.

FAQ

Common questions

Can we use a fixed weight per guest?

Ask the caterer for a plan appropriate to the menu and service; this guide gives no universal weight.

Does a platter mean the same quantity everywhere?

No. Confirm the provider's unit and serving basis.

Should alternative meals be added on top?

Confirm whether they replace or supplement the main allocation to avoid omissions or duplication.
