How to Compare Wedding Photography Packages

Key facts
- Send one shared event brief.
- Separate essential scope from optional extras.
- Compare team, hours and locations.
Define the job before comparing totals
Write a short shared brief: event date, venue, coverage start and finish, location changes, essential moments and privacy requirements. Decide whether you need photography only or video too. If one quote covers preparations and another begins at the reception, their headline prices describe different jobs.
Mark requirements as essential, optional or unnecessary. You might need simultaneous coverage in two places but have no use for a second printed album. A long list of extras should not distract from the moments that matter to you.
Use a comparison sheet
Create one column per provider. Copy wording from the written offers instead of turning vague claims into assumptions. Use “not confirmed” where a detail is missing.
| Row to compare | What to confirm |
|---|---|
| Team | Assigned photographer, assistants, second photographer and roles |
| Time | Start, finish, travel and rate for approved overtime |
| Images | Included edited images or delivery basis, editing scope and versions |
| Video | Whether included; films, durations and audio coverage if applicable |
| Albums | Quantity, dimensions, pages and selection or revision process |
| Delivery | Preview, final gallery and album milestones |
| Other charges | Travel, delivery, venue-related costs and applicable taxes or fees |
| Changes | Terms for date changes, cancellations and scope revisions |
Do not assume an assistant provides independent photographic coverage. Ask what each person does. Likewise, a promise of “all photos” needs a definition: does it mean selected edited photographs, unedited captures or another agreed set?

Compare the scope you would actually book
Ask each provider to price the same essential additions that their base package omits. Compare the total for your chosen scope, including quoted charges, rather than combining the cheapest line from several incompatible offers. Keep optional upgrades in a separate column so you can remove them without losing the core service.
Quality still matters. Review complete galleries and the delivery style, then assess whether the assigned team’s approach fits your event. A lower price is not automatically unsuitable, and a higher price alone does not establish a better result.
Confirm the selected version
Before booking, request an updated written summary containing the final scope and total. Link it to the payment stages and approved changes. If you remove an album or add hours after receiving the original quote, retain the revised version so everyone works from the same agreement.
