How Many Wedding Vendor Quotes Should You Request?

Key facts

  • Fix the date, location, guest estimate and service scope.
  • Shortlist vendors who fit the style, location and budget.
  • Send the same brief and ask for written, itemized quotes.

One clear, suitable proposal may be enough for a specialist with limited availability; collecting ten weak matches rarely helps.

Why the number alone is the wrong question

A photographer’s eight-hour package and another photographer’s four-hour package are not two prices for the same service. The first may include an album, second shooter and delivery schedule; the other may price those separately. Before counting quotes, make sure each supplier is quoting for the same date, location and deliverables.

The useful question is: Can we explain what we receive, what we pay in total, and what happens if the plan changes?

The two-to-three starting point keeps comparison manageable. It is Farhetna’s editorial planning suggestion, not a measured market average. If a vendor is unavailable, outside your budget or clearly mismatched to your brief, you need not request a formal quote to make up the number. Equally, do not commit simply because the third quote arrived.

Send one brief to everyone

Write the event date, venue or city, approximate guest count, start and finish times, desired service and approximate budget range. Add specific details that change the workload: a henna event as well as the wedding, travel between Amman and the Dead Sea, separate family photo sessions, a late-night zaffe, or setup access at the venue.

Use the same brief for each vendor, then ask them to identify assumptions and optional services separately.

For a florist, specify the approximate number of tables and installations. For a photographer, specify hours, locations and the requested deliverables. For a venue or caterer, ask about the guest-count basis and minimum spend. A quote is more useful when a vendor can explain how it fits your actual event rather than a generic package headline.

Compare the complete offer, line by line

CheckWhat to record
ScopeServices, quantities, hours, people, equipment and final files or products
TotalBase price plus setup, travel, overtime, delivery and other applicable charges; ask what is included in the quoted total
TimingArrival, setup, event coverage, handover and final delivery dates
PaymentsDeposit, instalments, final balance and payment method
ChangesGuest-count changes, postponement, cancellation and replacement arrangements
FitRelevant portfolio examples, communication and who will deliver the work

Example: quote A is JOD 800 for six hours, while quote B is JOD 950 for eight hours. If A charges JOD 120 for two extra hours and JOD 60 travel, its comparable total becomes JOD 980. Those figures are an illustration, not actual Farhetna vendor rates.

B could still have exclusions; ask both vendors to confirm the complete amount and inclusions in writing before comparing value.

When should you request another quote?

Get another proposal if none of the current vendors can serve your date, the scope differs too much for a fair comparison, a substantial cost is missing, or you cannot get clear answers about changes and delivery. A fresh proposal can also help when one category has a wide range of service levels and you have not yet decided what matters most.

Stop searching when at least one offer fits your requirements, the total and terms are understandable, and you have enough comparison to make a confident choice. For scarce dates, discuss the vendor’s hold policy; do not assume a verbal conversation reserves the date. Avoid paying a deposit before you have reviewed the written scope and terms.

A simple decision scorecard

Give the most weight to your own priorities: fit with your event, the work actually included, reliability and communication, and total cost. For instance, a couple who values private family portraits might prioritize a photographer who explains consent and delivery access over a slightly cheaper package with unclear sharing practices. A couple arranging a venue outside Amman may weight travel and setup more heavily.

The scorecard should clarify a choice, not turn a personal wedding decision into false precision.

FAQ

Common questions

Is three quotes always enough?

No. Two or three comparable written offers are a useful starting point. Ask for more if they are incomplete, mismatched or unavailable; fewer can suffice when a suitable specialist is clear and you understand the terms.

Should I choose the cheapest quote?

Compare the total and the deliverables. A lower starting price can cost more after overtime, transport or missing items; a higher quote is worthwhile only if its added value matters to you.

Can I ask a vendor to match another price?

You may ask whether the scope can be adjusted to your budget. Share the work you need and request a revised written offer. Avoid treating another vendor's different package as an identical product.

What if a quote comes only by WhatsApp?

Ask for a clear written breakdown of deliverables, dates, total, deposit and change terms, whether in a formal proposal or a message you can retain. Confirm the final agreement before payment.
Editorial note: the suggested count and example figures are planning guidance, not reported market prices or legal advice. Terms and availability must be confirmed with each provider.
