Wedding Planner vs Day-of Coordinator: Which Do You Need?

Key facts

  • List decisions and bookings still open.
  • Check whether sourcing and quote comparison are included.
  • Set the date the provider starts collecting information.

What a planner may cover

A fuller planning service can help define the budget, build a schedule, identify and compare venues and suppliers, keep decisions moving, coordinate family requirements and track changes. Some planners also design the look; others focus on logistics. Their involvement may begin many months before the wedding, but the exact start date and number of meetings belong in the offer.

Imagine a couple planning an Amman reception while working abroad. They may need someone to gather vendor options, align a venue visit with family, keep track of decisions and confirm suppliers before travel. That is more than supervising the event-day timetable. A planner could be valuable here, provided the proposal names the research, meetings, communication and approvals they will actually handle.

The couple should retain control of commitments and payments unless a clearly authorized process says otherwise.

What an event-day coordinator may cover

A coordinator typically joins after major vendors and decisions are in place.

They may collect contracts and contacts, build or refine the running order, confirm arrival and setup times, brief suppliers, direct transitions and handle agreed problems at the venue. “Day-of” rarely means someone can arrive with no preparation and know the whole event; ask when the handover starts and whether a rehearsal or pre-event meeting is included.

Suppose the couple has already booked a venue, photographer, zaffe and caterer, and has chosen the family entrance order. They now need someone to check arrivals, cue transitions and let relatives enjoy the celebration. That is a coordination need. If the couple has not chosen vendors or decided the budget, a coordinator package alone may leave important work with them.

Compare the roles by tasks, not labels

The same business can offer both levels. Some packages called “partial planning” sit between them. Ask for a task list with start and end dates instead of assuming the title defines the service.

Jordan-specific questions worth settling

How will the coordinator work with the venue’s own team? Who communicates the agreed entrance order, zaffe timing and any separate family or private-space arrangements? Who has permission to approve an extra charge if a supplier is late? If guests or vendors travel between cities, who checks those timings? These are planning questions rather than claims that all Jordanian weddings follow one pattern.

Discuss the arrangements that apply to your families and venue.

Request names and roles for the people attending, the amount of on-site coverage, overtime terms and a backup if the lead person becomes unavailable. Ask whether the vendor has experience with your type and size of event, and review a relevant case study. Confirm the scope and cancellation or postponement terms in writing before paying.

A fast way to choose

Write down the work still undone. If you need help deciding what to book and managing a long sequence of decisions, seek planning support. If the decisions and bookings are complete but you need someone to run the agreed plan, compare coordination offers. If you need a mix, request a clearly defined partial-planning proposal.

Choose based on the tasks the provider agrees to deliver, not on a presumed industry definition.

FAQ

Common questions

Does a venue coordinator replace my own coordinator?

Sometimes parts overlap. Ask the venue which tasks its staff handles and who coordinates outside vendors, family cues and personal items. Put the handoff in writing.

When should a day-of coordinator start?

There is no universal start date. Ask how many weeks before the event they collect information, review the timeline and confirm vendors.

Can a planner also manage the day itself?

Many do, but confirm hours, staffing and what happens when the lead planner is unavailable.
