Questions to Ask Before Booking a Wedding Photographer

Key facts

  • Send the same event brief to shortlisted photographers.
  • Confirm assigned people and replacement process.
  • Review a complete gallery in comparable conditions.

Start with your event brief

Send the date, locations, approximate guest count and outline of the day. Include any separate family gathering, getting-ready coverage or travel between venues. Identify privacy requirements and whether particular spaces need a photographer of a specified gender. Ask whether the proposed team can meet those requirements; do not infer this from a public portfolio.

Give each shortlisted photographer the same brief. Their answers become easier to compare when they are quoting the same job. Keep personal family details out of broad inquiries and share necessary details privately with the selected team.

Ask who is doing the work

Useful questions include: “Will you personally attend?” “How many photographers are included?” “Who covers each location?” and “If the assigned photographer cannot attend, how is a replacement chosen and communicated?” A studio name does not by itself tell you who will be there.

Request a complete gallery from an event with similar conditions, rather than judging only a few highlights. Look at consistency across portraits, low-light reception images and moving moments. Ask what editing style is included and how to communicate preferences without expecting a different style from the one you reviewed.

Photographer booking interview

Check each item as you complete it. Add it to your notes app or keep your progress in Favorites.

Make the timetable concrete

Ask what starts the coverage clock: arrival, the first photograph or a stated time. Confirm travel arrangements, breaks, location changes and what happens if the program is late. Request the overtime rate and the person authorized to approve extra time. “Full day” needs a defined start and finish.

Discuss your essential moments and any restrictions at the venue. Ask how the team coordinates family photographs and who should help gather people. Also ask what backup equipment and file-handling process the team uses. These answers show whether the plan fits your day; they are not a guarantee that every moment can be captured.

Clarify delivery, privacy and payment

Ask for the expected preview date, final gallery deadline, included edited images, downloadable versions and any album stages. Confirm whether video is included or quoted separately. Ask how long downloads remain available and whom to contact if access fails.

State whether photographs may appear in the photographer’s portfolio or social accounts and request your agreement in writing. Confirm payment stages, cancellation or date-change terms and the process for changing the scope. Avoid treating a verbal promise as a package inclusion.

Finish by asking the photographer to summarize the agreed team, hours, deliverables and price. Use Farhetna to discover providers, then confirm their current availability directly.
