How to Track Wedding Deposits and Final Payments

Key facts
- Record full price, paid amounts and balance.
- Confirm reservation and refund terms.
- Save receipts and scope revisions.
Build one payment record
For each service, record supplier name, agreed scope, full JOD price, deposit amount and date, installments, remaining balance, payment method, named approver and receipt location. Add the written cancellation, postponement and refund terms. Mark a payment “confirmed” only when you have evidence the recipient received it; a planned transfer is a separate status.
Use a simple calculation: balance equals the current agreed full price minus confirmed payments and agreed credits. If a supplier revises the scope, save the revised quote and update the full price before recalculating. Do not overwrite the old receipt. Record family direct payments in the same master tracker so the cost appears once, even if the couple did not pay it personally.
Read what the deposit does
Ask which date, service, team or room it reserves and when the booking becomes confirmed. Check what happens if either party changes the date, cancels or cannot deliver. Never infer refundability from the word “deposit” or “عربون” alone. If a term is unclear, request clarification in writing before paying; seek qualified advice for a material contract dispute.
Pay through the method agreed with the supplier and independently confirm the recipient details using a known contact if new payment instructions arrive. A sudden message changing account details should be checked before transfer. Keep banking details out of a broadly shared family planning document; it can record the payment status without exposing the account information.
Track Deposits and Payments
Check each item as you complete it. Add it to your notes app or keep your progress in Favorites.
Plan cash flow and final-week responsibilities
View payments by due date as well as by supplier. Compare the amount due in each period with funds actually available then. A wedding may fit the total ceiling but still create a cash gap before the date. Confirm family contribution timing and do not rely on expected gifts for a due payment.
Before the final week, reconcile every supplier: full price, confirmed payments, remaining amount, due date and any unresolved change. Ask whether a final balance is due before setup, on arrival or after delivery. Give one authorized person the responsibility for routine day payments, with a clear limit and receipts requirement. Do not leave the couple as the default payment contact while getting ready.
Close the record after the wedding
Check remaining photo, video, album or other delivery obligations before marking the service complete. Record returned security deposits and any agreed adjustments separately from service payments. If something is disputed, preserve the contract and correspondence and contact the provider clearly about the specific issue. Avoid withholding or sending money based on assumptions about rights.

Can we use one spreadsheet for two families' payments?
Yes. Name the payer and retain receipts, while counting each service total once.
What if the supplier changes the price?
Request the reason and revised scope in writing, compare it with the agreement, and approve only understood changes.
